What data do we collect? 

When you use our website, we automatically collect and store information about your device and your activities. This information could include:

  • technical information about your device such as type of device, web browser or operating system;

  • how long you used the website and which services and features you used.

If you choose the option to log in with or access third-party services in order to access or use Rox Data Corp’s applications (e.g. Google Services), we will automatically collect and store your user data from that third party. This may include:

  • Calendar events

How do we collect your data? 

The data we collect will come directly from you or via connected third-party services, such as Google Services. The direct data collection occurs when you: 

  • Register online or place an order for any of our products or services. 
  • Voluntarily complete a customer survey or provide feedback on any of our message boards or via email. 
  • Use or view our website via your browser's cookies. 
  • Directly contact Rox via one of the external facing channels (e.g. support alias).
  • Provide your information via the Rox web application.

The data collection via connected third-party services occurs when you agree to connect these services to Rox.

Rox Data Corp may also receive your data indirectly from the following sources: 

  • Zoominfo
  • Apollo
  • LinkedIn

How will we use your data? 

Rox Data Corp will only use your personal data where we have a lawful basis to do so. The lawful purposes that we rely on under this Privacy Policy are:

  • consent (where you choose to provide it e.g. when you choose to use an Integration App to share your data between Rox Data Corp and a third party, and never for data from connected Google Services);
  • performance of our contract with you or your employer;
  • compliance with legal requirements; and
  • legitimate interests. When we refer to legitimate interests, we mean our legitimate business interests in the normal running of our business which do not materially impact your rights, freedom, or interests.

Additionally, when Rox Data Corp processes your order, it may send your data to, and also use the resulting information from, credit reference agencies to prevent fraudulent purchases. 

Using data from connected Google Services

If we have received your personal data because you have chosen to sign in with Google, we will process your personal data to provide you with access to the Rox Data Corp application. Additionally, we will process your personal data to offer you the core functionality available in our application.

Rox Data Corp provides an agentic customer relationship management (CRM) and insight to action engine aimed at business customers. If we have received personal data because you have chosen to connect your Google Drive, Google Calendar and/or your Gmail account we will collect your data from this service in order to enhance the account management experience when you are using the Rox Data Corp application. This includes the automatic generation of pre-meeting briefings, account executive summaries, account research, and notify you of insights that have occurred with your accounts along with streamlined access to the next best action (e.g. automatically generate emails along with follow ups).

Additionally, Rox Data Corp might share your personal data with our AI service providers, listed under Rox Data Subprocessor List (available in https://www.rox.com/legal). Rox Data Corp only processes your personal data with AI service providers with whom we have Zero Data Retention policies in place. Depending on the services you’ve enabled in Rox Data Corp, we may share information with AI service providers such as timestamps, calendar subject and description, email subject and body in order to generate summaries and recommendations for each of your customers.

Additional Limits on Use of Your Google User Data:

Notwithstanding anything else in this Privacy Policy, if you provide us with access to data from connected Google services, our use of that data will be subject to these additional restrictions:

  • We will only use access to data from a connected Google Service to allow the Rox Data Corp web application to read, process, write and delete emails, track recipient opens, clicks and replies to emails, access Google Drive files and calendar events. Furthermore, our use of data is limited to providing or improving user-facing features that are prominent in the requesting application’s user interface.
  • We will not transfer this data to others unless doing so is necessary to provide and improve features that are prominent in the user interface, comply with applicable law, or as part of a merger, acquisition, or sale of assets.
  • We will never use Google User data for serving advertisements, including retargeting, personalized, or interest-based advertising.
  • We will not allow humans to read this data unless we have your affirmative agreement for specific messages, doing so is necessary for security purposes such as investigating abuse, to comply with applicable law, or for our internal operations and even then, only when the data have been aggregated and anonymized.
  • Rox Data Corp use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

Marketing 

Rox Data Corp would like to send you information about products and services of ours that we think you might like. If you have agreed to receive marketing, you may always opt out at a later date. 

You have the right at any time to stop Rox Data Corp from contacting you for marketing purposes.

What are your data protection rights? 

Rox Data Corp would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following: 

  • The right to access - You have the right to request Rox Data Corp for copies of your personal data. We may charge you a small fee for this service. 
  • The right to rectification - You have the right to request that Rox Data Corp correct any information you believe is inaccurate. You also have the right to request Rox Data Corp to complete information you believe is incomplete.
